Lifecycle Stage
How EO defines Lifecycle Stage in HubSpot, and how to choose the right one for each contact.
Lifecycle Stage is HubSpot's built-in property that tracks where a contact sits in the journey from "we don't know them" to "they're an active member." In EO's HubSpot, we use it to separate people we're courting, people who've joined, and people who've graduated out.
The four lifecycle stages EO uses
EO chapters use a deliberately small subset of HubSpot's lifecycle values so reporting stays consistent across the global rollout:
- Lead — someone we've identified as a potential member. They've shown interest but haven't joined yet.
- Member — an active EO member in your chapter.
- Alumni — someone who was a member and has moved on (transferred, departed, graduated to a different EO programme).
- Other — board members, sponsors, EO staff, or anyone else who needs to be in HubSpot but isn't on the member-lifecycle path.
Why it matters for the rollout
Lifecycle Stage drives most of HubSpot's automation: welcome emails fire on Lead → Member transitions, renewal nudges target Members nearing their anniversary, alumni newsletters skip current Members. If a contact lands in the wrong stage during the import, every downstream workflow misses them.
That's why we ask chapter admins to confirm Lifecycle Stage for any contact whose status was ambiguous in the source spreadsheet — better to ask once than re-segment 200 records later.
