The top five questions chapters ask before signing off on the HubSpot rollout.
These are the questions Sydney's chair asked on the first prep call. We expect every chapter to have the same ones. If yours isn't here, email dave@edge8.co — it'll be added.
1. What happens to our member data — who can see it?
Your chapter's member data lives in the global EO HubSpot account, with chapter-scoped access controls. Other chapters can't see your roster, and Edge8 only accesses your data to run the validation and import — never for any other purpose. Once Go Live completes, only your chapter admins and EO Global staff with explicit permission can query your members.
2. What if we make a mistake on the roster upload?
You can re-upload. The portal accepts replacement files at any time before Stage 4 (HubSpot Import). After the Review Call we lock the dataset, but if you spot a problem before Stage 4 starts, tell us — we'll reset the validation and accept a new file. After Stage 4, corrections happen directly in HubSpot.
3. Do we have to migrate every contact at once, or can we stage it?
For v1 we recommend migrating your full active-member roster in one pass. Adding new leads and members one-by-one after Go Live is the steady-state workflow. If you have a special reason to split the roster (e.g., a sub-chapter that's spinning out), tell us during the Review Call and we'll plan it together.
4. What if a member doesn't want their data in HubSpot?
EO members can request data exclusion at any time, including before the rollout. Flag the contact on your roster (Edge8 provides a column for this), and we'll exclude them from import. The contact stays in your local records but is never created in HubSpot. They can opt back in later.
5. How long does this actually take? Will we be ready for [event X]?
A typical chapter completes all five stages in 1-2 weeks of calendar time. Most of that is waiting for the Review Call slot and verifying your roster — the technical work is fast. If you have a hard deadline (sponsor sign-up, AGM, regional summit), tell us when you start so we can prioritise.
